How to Use

Note for legacy users of AuthorTec Change Picture Links users only: This tool is located on the Developer tab in Word.

Overview

AuthorTec Change Picture Links performs two major tasks.

  1. Rapidly find and fix broken picture links

  2. Easily change the type of link on the pictures

Both tasks can be performed on multiple images at once, to save time and ensure consistency.

  • While having linked images in a file reduces file size, those links are broken when you change the image's directory location, or email the file to someone else.

    Once the links are broken, you see a red "X" instead of the image in your document.

    With AuthorTec Change Picture Links you can quickly fix image links by either:

    correcting the linked folder path, or changing the type of link on the Pictures.

    The Linked images count shown includes those set as "Linked" and “Linked and Embedded", which we refer to as "Both".

    AuthorTec Change Picture Links only works on Linked or Linked and Embedded images in your file.

    It does not change existing embedded images into the linked or linked and embedded image types.

    However: If you inserted embedded images using AuthorTec Insert Docs’n Pics and the original paths to those pictures are still valid:

    AuthorTec Change Picture Links will use the original paths and make the changes you request.

    It can do this because AuthorTec Insert Docs’n Pics saves the full path to the image, similar to how a linked image path is stored.

  • Embedded is the default option for images inserted into a Word document.

    This means that a copy of the image file is stored in the Word document itself.

    This makes it convenient to share the document with others, but it can also swell the size of the document as more images are added.

    Linked is an option that links the external image file to the Word document.

    This means only a link to the image file is placed in the document.

    The advantage is a smaller document size. And if the picture is updated, the new image appears automatically in the document when it is opened.

    The disadvantage is that the images in the document will appear as a Red X for anyone you share the document with unless you send the image file along with the document; or unless the person you are sharing with has access to the path where the image is stored.

    Both is an option to embed and link the inserted image.

    If the linked path does not change, the images in the document will always be the most to date versions.

    If the path changes, then the embedded version of the image is displayed.

    Word document file sizes are not reduced by this option, but ease of updating and sharing is enhanced.

How to Change Picture Links

  • Open the Word document with picture links that need to be updated.

  • Click the Developer tab along the top of your screen in Word and click the Change Picture Links button to open the Picture Links dialog box.

  1. You will see how many Linked images and how many Embedded images are in the document.

    1. The Linked images count shown includes those set as "Linked" and "Linked and Embedded", which is also called "Both"

  2. Choose what to change: All or Selective

    1. If you only want to change certain picture links, select those image(s) in your document before clicking the Selective option.

    2. You can select a range of images to change by just selecting the whole paragraphs where they are inserted.

    3. Then, click “Mark Selective”

  3. Set your Change preferences

  4. If you are changing the folder path to the linked picture images:

    1. Click the New Folder button and use the Folder Explorer function to identify the new source location of the pictures.

    2. The new full pathname to the folder containing the pictures is placed in the text box.

    3. All filenames of the pictures must match exactly the names as they were when originally inserted into the document. 

  5. If you are not changing the path location and simply want to change the linked image to embedded:

    1. In the "Change From" group mark "Linked" and in the "Change To" group, mark the "Embedded" button. 

    2. AuthorTec Link will use the linked image’s current source location and filename to reinsert them into the document as an embedded image type.

  6. Click OK in the lower right corner of the dialog box to apply your changes.
